Update of Technical Services Activities, May-December 2007

Major Staff Assignment Changes:

In September, Peggy was transferred full-time to S&E Library. In October, Cheryl became part-time, working only 8 hours per week in Acquisitions. Kelly and Lisa, with some student help, performed serials checkin. Tungyi worked on CJK cataloging. Mordechai & Janet M. received cross-training in Acquisitions. Training of Kelly and Mike on Serials Orders started. Lai-Ying was appointed permanent head of Technical Services.

Projects and Tasks:

1. Cataloging / Electronic Record Management:

Completed Projects:

  • Shelf List cabinets disposed of
  • Brief Cruzcat records created for items waiting for original cataloging
  • Shelf Ready pilot project of CJK items
  • Outsourcing pilot project of CJK items
  • Cataloging of 250+ Chinese videos
  • Proposal to outsource original cataloging requiring expertise not available locally approved for 2008
  • Global update of 590 to become a protected tag
  • Cuttering guidelines compiled
  • Intern in original cataloging of maps trained
  • Reclassification of stacks monographic items from JX to JZ and KZ completed by volunteer
  • Preservation note 583 for treated Chinese books were added
  • Copy cataloging procedure for computer games updated
 

Projects in Progress:

  • LC new series policy: review “Class Sep” policy for books with distinctive titles within series and the series situation in Cruzcat
  • Integrating Resource format for database, websites and loose-leaf materials: codes in Cruzcat and Melvyl updated. Consult library about their existence on webopac
  • Monograph original cataloger learning serials cataloging

Pending Projects:

  • Indexing of ISSN, ISBN, music, LC and other system linking numbers and other indexing issues
  • Apply new OCLC Connexion functionality and features to cataloging operations
  • Training on Classification Web / Catalogers Desktop / UC on the Funnel Project for OCLC/CONSER serials record maintenance

  • Train copy catalogers on identifying the relationships between serial and monograph records

2. Serials / E-Resources:

  • Order procedure established
  • Improve control of subscription titles within packages. New codes introduced in order records
  • Improve control of cancellations. New code introduced in checkin records

  • Collection moves: current periodicals, Ref tables, S&E index & S&E Ref
  • Location code recommendation for current unbound journals

    Handled the redesign of the LexisNexis links
  • Negotiated the waiver of Swets e-journals access fees

  • Retrospective update of Identity, historical Format / platform data in order records
  • Enhance understanding of serials staff on CDL consortial serials purchases
  • Original cataloger learning to catalog serials
  • Review performance of serials vendors

Pending Projects:

  • Review relationship between Collection Development and Serials Acquisitions
  • Systematic review of vendor online availability reports and SFX Knowledgebase against local subscriptions to further activate electronic access
  • Streamline the identification of online availability, pricing, license gathering/status check, and ordering of electronic serials into the serials ordering process for more effective management

3. Acquisitions:

Completed Projects:

  • Process replacement requests
  • Generate lists of titles purchased with endowment funds in to donors
  • Procedures using Millennium Acquisitions for invoicing, record loading, ordering, receiving, cancellations, etc.

  • OCLC Connexion functionality and features to be applied to acquisitions operations.
  • Acquisitions/cataloging pilot cross-training project: Mordechai processed foreign language approvals for Acquisitions & cataloged books at same time. Janet M. received and cataloged rushes purchased at Baytree.
  • Procedure for purchasing & downloading pdf files and computer games.
 


4. Technical Services:

  • Statistics gathered about the extent of non-oclc records in Cruzcat
  • UC/OCLC Local bib data Task Force report
  • Progress Report: Using OCLC as single cataloging tool/data source
  • Testing various WorldCat Local features, e.g. local holdings transfer and display, Z39.50 searching, serials and complex record displays
  • New locations added and display of old locations updated
  • Learning 2.0 program
  • Deleted obsolete on-the-fly records
  • Procedure for monthly statistics generation using III Create List
  • LA3 Recruited
  • Definitions of formats for collection statistics and for cataloging statistics
