Update of Technical Services Activities, January-April 2007

Major Staff Assignment Changes:

To meet the critical desk coverage needs of Science and Engineering Library, Peggy has been transferred to S&E Library Reference half-time starting January and this arrangement is to be reviewed this coming June. She will continue her serials order responsibilities for .5 of her work hours. Kelly is training Lisa and a student to perform serials checkin. Tungyi is now being trained by Yi-Yen on CJK cataloging. Lisa and Tungyi have also been trained to load different types of MARC records into Cruzcat. Varvara becomes supervisor of the student shared between Acquisitions and Serials.


Projects and Tasks:


1. Cataloging / Electronic Record Management:

Completed Projects:

  • Cruzcat Marc validity tables has been brought up-to-date
  • MAT TYPE for spoken and music audio, kits and 2D art have been corrected in Cruzcat
  • MilCat has been implemented for cataloging, label batching and global updates by copy catalogers
  • Migration to OCLC Connexion Client 1.6 completed
  • Procedure for the creation of LexisNexis records has been completely re-vamped
  • Replacement procedure revised
  • Migration to ISBN-13 and OCLC-9 digit number completed
  • Withdrawal project from Collection Move
  • 1163 brief MARC records have been batch created for the Taylor and Francis titles with links to full text while waiting for SCP full records
  • RT Procedure revised
  • Marcive Loaders revised to solve the call number and location problem
  • Record set of 1200+ Taylor and Francis titles with Informaworld URL’s has been batched created and loaded into Cruzcat
  • Spring 2006 theses cataloging, using the simplified cataloging procedure, has been completed
  • Cuttering guidelines compiled


Projects in Progress:

  • ISSN Project: Use ISSN Portal by team of monograph catalogers to insert ISSN into serial records
  • LC new series policy: review “Class Sep” policy for books with distinctive titles within series and the series situation in Cruzcat
  • Cataloging of computer games: wait for response to proposal for the Sony donation
  • Integrating Resource format for database, websites and loose-leaf materials: codes in Cruzcat and Melvyl updated. Consult library about their existence on webopac
  • “Common spelling errors” project for Cruzcat database quality control
  • Procedure for quality control of donor information in tag 541
  • Catalog 250+ Chinese videos to provide support for new faculty
  • Recruitment of Metadata/Cataloging Librarian
  • Disposal of the shelf list units
  • Brief Cruzcat records for items waiting for original cataloging that have no existing Cruzcat records
  • Proposal for outsourcing CJK material cataloging

Pending Projects:

  • Indexing of ISSN, ISBN, music, LC and other system linking numbers and other indexing issues
  • Apply new OCLC Connexion functionality and features to cataloging operations
  • Training on Classification Web
  • Training on Cataloger’s Desktop
  • Training by UC on the Funnel Project for OCLC/CONSER serials record maintenance
  • UCSD’s METS wrappers and/or OCLC’s metadata extraction and creation

  • Explore outsourcing of cataloging that requires special expertise not available locally

2. Serials / E-Resources:

Completed Projects:

  • Checkin training for Tungyi, Lisa and student
  • Current publisher data in bibliographic records entered

  • Clean up of outstanding cancelled orders
  • Relocate Reference table materials
  • Review of materials on cancellations, duplicates, etc. shelves

Projects in Progress:

  • Retrospective update of Identity, historical Format / platform data in order records
  • Improve control of subscription titles within packages. Create new codes in order records for them
  • Improve control of cancellations. Create new code in checkin records for them
  • Generate a comprehensive list of locally subscribed titles
  • Explore consolidation of serials vendors
  • Establish procedure for monthly statistics generation using III Create List
  • Handle belated replacement requests
  • Explore separate serials record vs single serials record
  • Enhance understanding of serials staff on CDL consortial serials purchases

Pending Projects:

  • Review relationship between Collection Development and Serials Acquisitions
  • Systematic review of vendor online availability reports and SFX Knowledgebase against local subscriptions to further activate electronic access
  • Streamline the identification of online availability, pricing, license gathering/status check, and ordering of electronic serials into the serials ordering process for more effective management
  • Review impact of Collection Planning’s new online order form and revise Serials procedure to coordinate with the change

3. Acquisitions:

Completed Projects:

  • Migration to ISBN-13 and OCLC-9 digit number completed
  • Migration to OCLC Connexion Client 1.6 completed
  • Replacement procedure revised
  • Recorded YBP orders to identify special handling needs in invoice register


Projects in Progress:

  • Process belated replacement requests (350)
  • Generate lists of titles purchased with endowment funds in 2005/2006 (488) to donors
  • Items lost in process 2006

Pending Projects:

  • Procedures using Millennium Acquisitions for invoicing, record loading, ordering, receiving, cancellations, etc.
  • OCLC Connexion functionality and features to be applied to acquisitions operations
