TO: UCSC Faculty FROM: University Library Access Services RE: Changes in Proxy Card Service DATE: March 6, 2006 Dear UCSC Faculty, This message is to alert you to some impending changes to the UCSC Library proxy card service. As a reminder, the proxy card service enables UCSC faculty to select individuals of their choosing to obtain a library card and use it to checkout items for that faculty person. The faculty person who obtains the proxy card assumes responsibility for all of the items checked out on the card and agrees to manage all due dates, recalls, and fees/fines – the proxy is without liability for the items. The current proxy card service sets up a separate account for the faculty proxy. Items checked out to the proxy are not viewable in the faculty person’s account. Only the proxy knows what due dates or fines/fees are associated with the items on the card. In contrast and effective March 31, 2006 , the new proxy card service will attach the proxy card holder to the faculty person’s account. Only the faculty person will be able to view what items have been checked out, their due dates, and if there are fees/fines associated with any of the items. The proxy will no longer have the ability to view what items are checked out on the proxy card. This change allows the library to extend the amount of time a person may serve as a proxy for a faculty person. Proxies will not need to be renewed on a quarterly basis unless the sponsoring faculty person prefers that his/her proxies do expire on a quarterly basis. The new proxy card application will be available for download online from the Circulation web page by March 31, 2006 and options for expiration dates will be detailed on the form. | Q: Who is Eligible to Apply for a Proxy Card? |
Answer:
- Proxy borrowing cards permit UCSC faculty to designate individuals of their choosing to borrow library material in their name. Proxy borrowers must be working for the faculty member to be eligible for a proxy card.
- Department heads who are not faculty may request proxy borrowing privileges by submitting a written request to the Head of Circulation at either the McHenry Library or Science & Engineering Library.
- UCSC students who are physically challenged and are registered with the Disability Resources Center (DRC) may apply for a proxy card at either the McHenry Library or Science & Engineering Library Circulation Desk.
| Q : Who is responsible for damaged, lost, overdue or recalled material checked out on the proxy card? |
Answer: The faculty sponsor is responsible for any damaged, lost, overdue, or recalled material checked out on the proxy card. The Library will not bill the proxy card holder.
| Q: Who will receive overdue notices, recall notices, bills or other library correspondence relating to the account? |
Answer: The faculty member will receive all correspondence relating to the proxy card holder. The proxy card holder will not receive notices.
| Q: How will I know which proxy card holder checked out an item for me? |
Answer: You will not be able to tell which proxy card holder checked out items for you. It will appear as though you checked out the item. This is a limitation of the system.
As a result, the Library recommends limiting the number of proxy card holders to three in order to more easily manage your account.
| Q: How will I know who my proxies are and when my proxy cards need to be renewed? |
Answer: If you view your record on-line, you will see information about each of your proxies: their names and their individual card expiration dates. To renew a proxy card holder account, download a renewal form from the library website and bring it into the library circulation desk. You may also contact Library Circulation Staff and request information about your proxies.
| Q: How long can I keep someone as my proxy? |
Answer: You may choose to have someone as your proxy for an entire academic year or for several quarters. The options are listed on the proxy card application.
| Q: Can my proxies renew my items for me? |
Answer: They may do so over the phone or in person. They will not be able to log into your account unless you provide them with your personal barcode number and pin number.
