Evaluations
Evaluation forms are distributed near the end of the conference. Here is a sample evaluation form.
Field Trip
The Field Trip is usually held on Saturday. It provides an opportunity to learn more about the region where the meeting was held, and for networking at the end of the conference. Usually the Field Trip has some correlation to a scientific topic: geology, oceanography, etc.
Food
Planning the refreshments for the conference is one of the largest tasks. It is helpful if you can delegate it to one or two other persons.
Usually the following events have a food-related component:
- Wednesday: Early Bird Picnic
- Thursday: Executive Board Meeting (a.m.); Meeting (p.m. break); list of restaurant suggestions for dinner
- Friday: Meeting (a.m. break; lunch; p.m. break); Banquet
- Field Trip: Box lunch if appropriate
Hotels
The hotel recommended for the meeting should be convenient to the site of the meetings, and should be reasonably priced. It should be in a safe area for people walking to it. It is usually possible to get a conference rate for the rooms, if a minimum number are reserved.
You will need to locate a hotel at least 6 months to a year ahead of time, and reserve a block of rooms.
