Image Reserves using ARTstor

On behalf of faculty and students at UC Santa Cruz, the University Library subscribes to ARTstor, a collection of more than one million digital images for teaching and research. ARTstor's images are available in medium-resolution format for export and use in PowerPoint or other presentation programs, and in high-resolution format for on-line presentations or to download into ARTstor's own Offline Image Viewer. ARTstor contains a general collection ("The Image Gallery") and many specialized collections.
ARTstor offers instructors two ways of presenting groups of selected images to their students:
1. An instructor can assemble an image group, have ARTstor generate a hyperlink URL for the group, and then give this URL to the students, either on paper, or by posting the link on a wiki or in a course software program. This is the simpler way; however, if the instructor makes any changes to the image group, then a new URL will have to be generated and posted. Each new group of images will have its own hyperlink. 2. Users with "Instructor Privileges" can create folders that can be shared with other ARTstor users. This method allows faculty to direct students to the shared folder once; faculty can add, remove, and edit image groups within the folder without needing to update a wiki or course page. This way also allows an instructor to share "write" access to the folder with a colleague or with teaching assistants.

Method I: How to assemble an image group and generate a URL for it
A. Log in to your ARTstor account. (If you don't have an ARTstor account, read instructions on registering here, or watch the video tutorial here.)
Select images from ARTstor's collections and save them in an image group. ARTstor has published a video tutorial on making image groups, here.

B. If desired, add images that you have uploaded into your ARTstor Personal Collection. (You can read how to upload images into your personal collection here.)

C. Open the image group, expand the "Share" menu, and choose "Generate image group URL". Then copy and paste the URL into a document or web page.

Method II: How to share image groups in a shared course folder
A. Set up a shared folder
i. Log in to your ARTstor account. (If you don't have an ARTstor account, find out how to get one here.)
Choose the "Share" menu, and select "Create folder." (Note: if the option is grey in the menu, your account does not have instructor privileges. Please e-mail the Visual Resource Collection to obtain this higher level of access.)

ii. Give your folder a simple and obvious name. We recommend that you use the course department and number, but you might also include your name and the quarter, as "Library Instruction 101 (Egan) - Fall 2009".
Click "Next".

iii. Choose a password for your folder. You will need to give this password to your students to enable them to access the folder.
You cannot re-use passwords, unfortunately. Each shared folder must have its own password.

iv. If you have teaching assistants and want to give them permission to add or remove images or image groups, choose the second option.
You will be prompted to create a password for "write" access, which is different from the first password you created.
Click "Next".

v. This feature allows students to create their own folders of images, which you and other students may then access. If you enable this feature, you will be prompted for an expiration date for the student folders.
Click "Next".

vi. To finish the process, click "Finished".
You can go back at any time and change any of the settings for the shared folder you have created: just return to the "Share" menu and select "Manage folder(s)".

B. If you have already made image groups and saved them into your own work folder, you can copy the groups into this shared folder.
Open the image group that you would like to copy into the shared folder. Expand the "Organize" menu and choose "Save image group as..." This will open a window like the one at right, where you will be prompted to select a folder and name the group.
Select the shared folder that you have created (make sure the name is highlighted as shown), give your image group a name, and save it.
You can also make image groups and save them directly into the shared folder, although we recommend that you save all groups in your own work folder and make copies for the shared folder.
